Receptionist / Front of House PART TIME

Our client is an International Company, leader in Facilities Investment Management, with offices in the center of Milan. The Receptionist/Front of House will carry out the following activities:- Receive and welcome all visitors to Reception creating a favourable impression of the Company through provision of a professional and friendly initial contact to all visitors, staff and clients;- Ensure that provision is made to answer the telephone switchboard in a professional and timely manner;- Respond to all emails efficiently and in an articulate manner;- Ensure that the Reception area is kept neat and tidy and with any publicity material;- Adhere to and work in line with the Company security policy, e.g. registering all visitors & contractors onto the visitor registration software;- Arrange taxi bookings for clients and visitors as required;- Ensure that day-to-day responsibilities continue during planned periods of leave and a detailed handover is provided during these times;- Being flexible on taking additional responsibiliies to support the team as required;- Assist the local Facilities Assistant with the booking of on-site meeting rooms and any associated catering requests;- Ensure that the provision of stationery and office supplies, consumables and catering products are always available;- Sort and distribute incoming mail within the headquarters and between the Company offices, ensuring that outgoing mail/packages are prepared for courier collections, arranged as required;- Ensure that all reprographic machines remain in good working order, providing a consistent service and troubleshooting where required; - Assisting in printing and binding of materials for meetings if required;- Ensure strict compliance with Health, Safety and Environment, e.g. ensuring that any incidents or Near Misses are notified to the Facilities Assistant / Manager;- Contribute to First Aid, Security, and Fire safety requirements;- Contribute to the provision of reports and information as required;- Work in line with the Client’s environmental policy and initiatives, leading by example;- Remain flexible in terms of out of hours emergency business support and participate in the client’s Business Contingency Planning on behalf of local Facilities, as required;- Purchase of cards, gifts, flowers for employees’ celebrations as requested;- Provide a customer focused service and to engender positive client and colleague relationships;- Demonstrate attention to detail and ownership of the processes relating to areas of responsibility; - Adopt a positive and proactive approach to the delivery of areas of responsibility;- Continually support and promote a team working approach;- Establish and maintain good working relationships with the staff;- Actively monitor health and safety compliance, reporting issues where identified;- To resolve any problems or complaints within the bounds of own knowledge and experience, but equally taking appropriate decisions about when to escalate issues upwards to the Assistant Facilities Manager;- Promote full compliance with all client and company policies’. The job holder should ideally have:- At least 2 years’ experience of working as a Receptionist/Secretary in a corporate environment.Essentials:- Excellent Italian communication skills and professional telephone manner;- Fluent in English Language, both written and spoken;- Strong commitment to delivering exemplary customer service;- Computer literate and able to use standard word processing and spread sheet software;- Approachable & friendly manner;- Smart appearance at all times.Desired:- Experience of working in a Front-of-House position;- Health and Safety Awareness.
